    Position Overview:

    Reporting to the Director of Project Management in the Department of Foundation and Alumni Communications, the Assistant Director of Project Management helps plan, implement, and track communications projects that support the alumni engagement and fundraising priorities of the Rutgers University Foundation (RUF) and Rutgers University Alumni Association (RUAA). Duties include the following:

    • Plan, schedule, and advance projects through production, ensuring they are on time and within budget
    • Coordinate project teams and work closely with them to develop deliverable materials
    • Create and usher projects through project management system, maintaining them in project management software
    • Serve as liaison to partners throughout the foundation and alumni association, providing them with project schedules and regular updates
    • In coordination with department leadership, contract with vendors and freelancers and manages working relationships with them
    • Work with department leadership to minimize risk and resolve problems

    In addition, the Assistant Director must demonstrate individual initiative; understand and help advance RUF and RUAA priorities; build collegial, productive relationships with colleagues throughout the organization and with vendors; and collaboratively help resolve both project-specific and systemic issues. The assistant director may represent the associate director, the department, the alumni association, the foundation, and the university at designated meetings, alumni functions, and donor events.



    • Responsible for the on-time, on-budget delivery of assigned projects.
      • Participates in planning for broad initiatives and individual projects
      • Writes creative briefs for complex initiatives and interprets them for project teams and partners
      • Monitors project budgets, helping to maintain budgetary discipline
      • Creates project schedules and provides regular updates to partners, department leadership, and project teams
      • Uses project management software to track, coordinate, and report on initiatives and projects
      • Works with department leadership to staff projects appropriately
      • In collaboration with functional area experts, contracts with qualified consultants, as needed, and manages their work
      • Monitors project progress and, in collaboration with partners and department leadership, makes adjustments as necessary
      • Works with department leadership to minimize risk and resolve problems
    • Provides support for team and leadership
      • Trains staff in PM processes and tools
      • Helps maintain integrity of project management system and software
      • Creates regular reports
    • Other duties as assigned
      • Occasionally attends or staffs meetings and/or events
      • Works on special projects assigned by department and foundation leadership• Regularly creates reports for leadership
      • May represent the associate director, the department, the alumni association, the foundation, and the university at designated meetings, alumni functions, and donor events.


    • Demonstrated experience in managing cross-functional processes and building consensus among diverse teams and individuals
    • Proven record of success in the management of large, complex projects in a marketing, communications, and/or fundraising environment
    • Ability to manage consultant engagements effectively, including contract management and cost containment
    • Capacity to manage multiple projects simultaneously
    • Minimum of two to four years as a project manager, preferably within a similar creative team or professional agency that manages print/digital creative projects, direct marketing campaigns, and other promotional efforts
    • Excellent communication, time management, reporting, and proactive problem-solving skills
    • Computer literacy to include industry-standard software as well as project management tools and systems
    • Bachelor's degree in business, marketing, communications, advertising, English, graphic design, or a related field, or an equivalent combination of education and/or experience that demonstrates skill, comprehensive knowledge, and understanding of project management, project evaluation, and budgeting
