The External Relations Coordinator will support the Assistant Dean for Development at Rutgers Law School - Camden location to include gift prospect strategy and execution, collaboration and data gathering for reporting purposes, meeting preparation, documentation, and follow-up. The Coordinator will be entrusted to work across the organization and at all levels to complete tasks as assigned by the Assistant Dean for Development in a timely and collegial fashion. S/he will support the Assistant Dean on the execution, planning, and distribution of many of these duties, transitioning seamlessly between strategy, data gathering and analysis, event management, communications, and donor relations.
In addition to supporting the Assistant Dean, the External Relations Coordinator will support the Director of Communications with purchasing/vendor relations, event support, mail house coordination, and strategic alumni communications, and support Admissions by coordinating scholarships offered at the law school, maintaining the online website with current scholarship opportunities, and reporting.
The External Relations Coordinator will assist the Assistant Dean for Development in managing donors and the Dean’s Advisory Council. This includes tracking and scheduling next steps with each donor including upcoming visits, invitations, follow-up, and stewardship opportunities. The Development Associate is expected to have the experience and knowledge to not only execute on given tasks but to also suggest next steps with regards to projects and donor cultivation. The Development Associate will be responsible for preparing briefings for Dean/Assistant Dean, entering donor contact reports from notes and debriefings, drafting correspondence and providing event support as needed. S/he will coordinate the gift agreement process with foundation staff, business manager and campus fund coordinator and manage internal requests for alumni/gift information.
The External Relations Coordinator will support the Director of Communications with vendor coordination including the addition of new vendors, requesting and compiling quotes for the Director’s review, and facilitate print mailings with mail house. The Coordinator will execute the strategic development communications plan by scheduling, sending and documenting planned communications to alumni/prospects through a variety of platforms, and coordinate with the Foundation for reporting as needed. S/he will communicate notable upcoming alumni visits with Director and schedule interviews with alumni for podcasts/taping. S/he will provide event support to include adding law school event details to the website calendar, uploading photos from events to Flickr, completing room reservations and coordinating with RCIT for any technology or live streaming support needed at the time of room reservation.
The External Relations Coordinator will work with University Accounting, Development and Rutgers University Foundation to assist the Financial Aid Officer. S/he will research the amount of the scholarship awards, post scholarships for Rutgers Endowed Scholarships and Gifts on the online website for all 2 and 3L's, send a notice to all 2 and 3L students announcing this posting with specific directions on what credentials are needed to apply for these awards, process official scholarship award letters for each student recipient, send names and RUID numbers to Financial Aid to post the awards, send recipient names to the Foundation and to the Dean of Development so that recipients are notified of award dinners and donors are notified of recipients of their scholarships. The External Relations Coordinator will request, collect and forward all thank you letters from student recipients to the Stewardship Department of Rutgers University Foundation and Dean of Development, and collaborate with Development to highlight specific students for stewardship opportunities and identify speakers for the annual scholarship dinner. The Coordinator must coordinate, collaborate, and maintain positive relationships with the University Foundation, Dean of Development, Financial Aid office, and outside scholarship donors.
The ideal candidate will have experience in education and development, with a keen understanding of the relationship between academic administration and the fundraising and alumni relations functions. S/he will demonstrate an ability to be detail oriented, have excellent time management skills and have a proven track record of project management. Superior writing and computer skills are expected, as is the professionalism and ability to interact with colleagues and high net-worth individuals. S/he will be proactive, executing projects as assigned but capable of providing feedback and suggestions to aid efficiency and transparency between the departments. A Bachelor’s degree is required.
